Swift Dashboard Tutorial

Swift CMS APP - Powerful yet simple eBay store management system

1. Getting Started

Login to the Swift CMS APP by entering your email address and password that you set up previously.

Once you have signed in click on the 'GET STARTED' button located in the bottom right corner of your screen.

Select Template

Select the template you wish to edit.

NOTE: The below image is an example of some of the templates that you may have, it varies depending on your store's requirements.

2. Editing your eBay Store Home Page

Select the eBay Custom Home Page template from your dashboard.

Customise your Template

Complete all of the fields available.

NOTE: Your eBay Custom Home Page template may have different fields than shown in the example below, it varies depending on your store's requirements.

  • Click 'Browse' to upload an image from your computer.
    NOTE: When uploading images to your store ensure they are designed to the size specified. In the example above the image size should be 364px in width by 344px in height.
  • Click on the green [+] icon to add more fields if required (limits may apply).
  • Click on the red [x] icon to delete the fields not being used.
  • Click and Hold the icon, drag it to re-arrange the positioning of the field.

Add your Meta Data for SEO

Complete Meta Description and Meta Keywords to maximimse your eBay store's rankings via external search engines such as Google.

WARNING: Do not spam your eBay store with keywords. Doing so may result in your eBay store being suspended or dropped from google search. If you're unsure how to correctly optimise your eBay store for SEO then we recommend you engage an SEO expert for advice.

Once all fields are completed, click on the 'PREVIEW' button located in the bottom right corner of your screen.

If it all looks correct, click on the 'CONTINUE' button located in the bottom right corner of your screen.

To go back and make changes, click on the 'BACK' button located in the bottom left corner of your screen.

Once you have made your changes and clicked on the 'CONTINUE' button, click on the 'PUBLISH' button to apply the changes directly to your eBay store.

Once you see the green popup message 'Published Successfully', your changes will be live. Go to your eBay store's page and refresh it to see the changes.

3. Creating a new custom page

Select the eBay Custom Page template from your dashboard.

Creating / Editing eBay custom pages

From the drop down list select 'New custom page' to create a brand new eBay custom page or, to edit an existing page just click on the page title you would like to edit.

Enter the title and content of the page.

NOTE: The page title you enter here will be your page name. Example if you enter 'About Us' or rename an existing page from 'About' to 'About Us' then your new custom page URL will look like stores.ebay.com.au/YOURSTORE/About-Us.

IMPORTANT: Page title must start and end with a letter or number. Any spaces you enter in your page name will be replaced by eBay with a hyphen charactor [-].

Once all fields are completed, click on the 'PREVIEW' button located in the bottom right corner of your screen.

If it all looks correct, click on the 'CONTINUE' button located in the bottom right corner of your screen.

To go back and make changes, click on the 'BACK' button located in the bottom left corner of your screen.

Once you have made your changes and clicked on the 'CONTINUE' button, click on the 'PUBLISH' button to apply the changes directly to your eBay store.

Once you see your green popup message 'Published Successfully', your changes will be live. Go to your eBay store's page and refresh it to see the changes.

NOTE: The maximum number of custom pages that you can create depends on your eBay store subscription level. When you reach your maximum, you must delete an existing page before you can create a new one or upgrade to the next store subscription in eBay.

Deleting a Custom eBay Page

To delete a custom page select the page from the drop down list and then click on the red 'Delete Page' button located towards the top right of your screen. You will be asked to confirm that you wish to delete the page.

NOTE: Before deleting your page you need to ensure that you have not linked to this page from other areas within your store. You should check your Store Header and Store Footer templates as these are common places where you may have links to custom pages.

Once the page has been refreshed, your custom page will have been removed from eBay and from your drop down list.

4. Product Listing Dashboard

Select the 'Product Listing Dashboard' template from your dashboard.

Things You Need to Know

This information is important. You should know what each link / button does and what the messages mean before continuing.

// Menus, Clicks and Status

R = Revised - Items using the new Swift template

M & Q = Modified and Queued Listings that have had their header, footer or global tabs updated via the dashboard or are being updated by eBay (imported back into dashboard or have had title or price change)

F = Failed Usually happens when a listing is not allowed to be revised by eBay such as an Auction listing ending in 24hours, has active bids or is no longer available for purchase.


'Import eBay Items' and 'Update eBay Template'

Import eBay Items - Clicking on this link will bring the item back into the dashboard and change its status to 'M&Q'. Within 60 minutes your listings will automatically start updating to include your images, title and price.

NOTE: Only items that have the Swift template will change to 'M&Q' and update. Any other template that is not from Swift Productions will not change until you have 'Revised' them directly via the dashboard.

IMPORTANT: Until your listing status changes from 'M&Q' to 'R', your listings in eBay will be missing the title, images and price.

Update eBay Template - If you have changed your price, title or images of your products in eBay you will need to update the eBay template. This will refresh the content and update the listing pages you have revised.

NOTE: This will only work with items that have a status of 'R' (Revised using the new Swift template).


Search box - Allows you to quickly search your dashboard by either entering the eBay item ID or by typing the item title.

NOTE: Suggestion Search is enabled. As you start to type it will start to narrow down showing you all your items available for editing.


Status bar will indicate how many items have been revised, failed or in a queue to be updated

NOTE: To clear your Failed status click on the 'Failed' button reset it.


From the drop down list select how many items you would like to display per page.


From the drop down list select what items to display.

NOTE: When selecting the type of items to display the status bar on the rigth will change. It's a good idea to keep it on 'ALL' before you leave as whatever status you display will be remembered the next time you visit.

IMPORTANT: Anytime you 'PUBLISH' either your Header, Footer or Global Tabs; your listings that have a status of 'R' (Revised and using the Swift template) will automatically change to M&Q Status and will automatically update within 60 minutes.

Creating a New Listing

Click on the 'Create New Listing' button

The editing tool will pop up towards the right of the screen.

Complete all the fields required. In the example below only the Product Description section has been completed.

NOTE: Your template may have different fields than shown in the example below, it varies depending on your store's requirements.

Once you have completed the fields click on the 'Preview' button to view how your template will look once uploaded to eBay.

NOTE: During the 'Preview' screen as below you will see some temporary place holders. These placeholders (images, title and price) will dynamically update once you upload your template to eBay.

If you're happy to proceed click on the 'Show HTML' button to generate the HTML code to paste into eBay

  • Copy the HTML Code
  • Go to eBay and create your listing as you would normally
  • When you get to the Description section change tab from 'STANDARD ' to 'HTML'

    IMPORTANT: Once you have changed your tab from 'STANDARD' to 'HTML' do not click on the 'STANDARD' tab anymore, doing so may corrupt the template.

  • Paste the HTML code you copied from the Swift Dashboard
  • Save and publish the template

Your template has now been applied to your listing.

There is 1 final step. After creating all of your listing by following the steps above, go back to your Swift Dashboard and click on the 'Import eBay Items' button. This will then import your products from eBay back to the dashboard for future editing.

NOTE: The 'Import eBay Items' function can take a few minutes while it imports your products from eBay to the dashboard. Once they are imported they will have a status of 'M&Q' (Modified and Queued). This means the listings are in a queue to be updated to include your images, title and price. The update normally happens within 60 minutes.


Revising Existing Listings

Select the item you would like to revise.

  • Click on the blue eBay item number. The editing tool will pop up on the right.
  • NOTE: If you hover over the little info icon you will be able to see the item title.

  • Enter the description
  • Click on the 'Revise' button to apply the changes directly to the listing or click on 'Modify & Queue' to have the listing auto update within 60 minutes.
    If you wish to 'Revise' please allow up to 2-3 minutes for the listing to show the changes. This option should only be used if you only have the one listing to revise. When revising more than one it's better to select the 'Modify & Queue' option as this will update all in one go and be done within 60 minutes.
    You will notice the status will change to either 'R' (Revised) or 'M&Q' (Modified and Queued).

NOTE: Changing the 'Item Title' or 'Price' in the listing dashboard will also apply the changes to eBay.


Updating Listings

If you make a change to a live listing in eBay such as updating your images, title or price and the details have not come across to your listing template you will need to click on the 'Update eBay Template'. This acts like a refresh and will change any of your existing listings that have a status of 'R' and place them into 'M&Q' status. Within 60 minutes your listings will automatically start updating and show the latest images, title and price.

NOTE: When you click on 'Update eBay Template', it can take up to 60 minutes to complete depending on how many products you have in eBay. This will work in the background of your dashboard so you can continue working as normal.

6. Managing Banners

The following applies to your Hero Slideshow, Splash Banner, Side Wings and Display Banner template.

Where the banners appear

Before we begin it's important to let you know where each of the banners appear.

// Hero Slideshow
This banner will appear only on your eBay store's home page.

// Splash Banner
This banner will appear on your eBay store's home page and may also appear on your custom inner pages (varies depending on the design).

// Display Banner
This banner will appear on your catalogue page and may also appear on your custom inner pages (varies depending on the design).

// Side Wings
The Side Wings banner may appear on your Home Page and / or Catalogue Page. They will not appear on your Custom Inner Pages.
NOTE: Side wing banners are limited to 1 image and will not rotate.

Editing your banners

In the example below we are working with the 'Hero Slideshow' banner however, the same rules apply to others.

Complete all of the fields available.

  • Click 'Browse' to upload an image from your computer.
    NOTE: When uploading images to your store ensure they are designed to the size specified. In the example above the image size should be 1120px in width by 585px in height.
  • Click on the green [+] icon to add more fields if required (limits may apply).
  • Click on the red [x] icon to delete the fields not being used.
  • Click and Hold the icon, drag it to re-arrange the positioning of the field.

If it all looks correct, click on the 'CONTINUE' button located in the bottom right corner of your screen.

To go back and make changes, click on the 'BACK' button located in the bottom left corner of your screen.

Once you have made your changes and clicked on the 'CONTINUE' button, click on the 'PUBLISH' button to apply the changes directly to your eBay store.

NOTE: When previewing the 'Side Wings' or the 'Display Banner' it will not show your entire store, you will only be able to see the banner. Once you have published refresh your ebay store to see the changes live.

Deactivating a banner

Un-check the 'ACTIVE' box below in the Settings section of your template.

Click on the 'CONTINUE' button located in the bottom right corner of your screen.

Click on the 'PUBLISH' button to disable the banner.

Once you see the green popup message 'Published Successfully', your banner will have been removed from eBay. Go to your eBay store and refresh the page to see the changes.

Note: To re-enable the banner just click on the 'ACTIVE' button under Settings, then click on 'PREVIEW' then 'PUBLISH' as normal.

Complete all of the required fields below the Schedule Settings section of your banner template.

  • Select the Start / End Date.
  • Select the Start / End Time.
    Note: The schedule time is set according to Sydney Local Time. Check Local Time Now (opens a new window)
  • Select your Display Method.
    Add to existing slideshow Keep your current slideshow as is and just add the newly scheduled banner to it.
    Show scheduled image only Temporarily disable rotation of existing slideshow until the end time.
  • Click 'Browse' to upload an image from your computer.
    NOTE: When uploading images to your store ensure they are designed to the size specified. In the example above the image size should be 1120px in width by 585px in height.
  • Enter the URL of where you would like the image to be hyperlinked to.
  • Click on the green [+] icon to add more fields if required (limits may apply).
  • Click on the red [x] icon to delete the fields not being used.
  • Click and Hold the icon, drag it to re-arrange the positioning of the field.

If it all looks correct, click on the 'CONTINUE' button located in the bottom right corner of your screen.

NOTE: During the 'PREVIEW' screen your scheduled banner will not appear. This will only appear live in eBay at the scheduled time.

To go back and make changes, click on the 'BACK' button located in the bottom left corner of your screen.

Once you have made your changes and clicked on the 'CONTINUE' button, click on the 'PUBLISH' button to apply the changes directly to your eBay store.

Once you see the green popup message 'Published Successfully', your changes will be live. Your scheduled banner will now show at the time specified.

7. Global Tabs

Select the Global Tabs template from your dashboard.

Complete all of the fields.

Note: Your Global Tabs will have different fields than shown in the example below, it varies depending on your store's requirements.

Note 2: During the 'PREVIEW' mode of your tabs, the design used is for content demonstration only. Once you 'PUBLISH', the design of the tabs will auto-update according to your own design.

Once all completed, click on the 'PREVIEW' button located in the bottom right corner of your screen.

To go back and make changes, click on the 'BACK' button located in the bottom left corner of your screen.

Once you have made your changes and clicked on the 'PREVIEW' button, click on the 'PUBLISH' button to update your tabs.

Once you see your green popup message 'Published Successfully', your listing template tabs have been updated.

IMPORTANT: After click on 'PUBLISH' your product listing template has been updated and all your items in the the Product Listing Dashboard that have a status of 'R' (Revised and using the Swift Template) has been changed to 'M&Q' status and will automatically start updating within 60minutes.

8. Global Site Notice

Select the Global Site Notice template from your dashboard.

Activating your Global Site Notice

Ensure the 'ACTIVE' box is checked.

Complete all of the fields.

Once all completed, click on the 'PREVIEW' button located in the bottom right corner of your screen.

To go back and make changes, click on the 'BACK' button located in the bottom left corner of your screen.

Once you have made your changes and clicked on the 'CONTINUE' button, click on the 'PUBLISH' button to apply the changes directly to your eBay store.

Once you see the green popup message 'Published Successfully', your banner will have been removed from eBay. Go to your eBay store and refresh the page to see the changes.

De-activating your Global Site Notice

Ensure the 'ACTIVE' box is un-checked.

Click on the 'PREVIEW' button located in the bottom right corner of your screen.

Click on the 'PUBLISH' button.

Once you see the green popup message 'Published Successfully', your Global Site Notice will have been removed from eBay. Go to your eBay store and refresh the page to see the changes.

Note: To re-enable the Global Site Notice just click on the 'ACTIVE' button, then click on 'PREVIEW' then 'PUBLISH' as normal.

9. Burger Menu

Once you have logged into your dashboard and clicked on the 'GET STARTED' button, you will then see a burger menu located in the top left corner of your screen.

It's a good idea to familiarise yourself with these options.

// Return Home

Clicking the 'Home' button will bring you back to your Swift Dashboard's home page no matter where you are.


// Quick Switch

If you have multiple eBay stores being managed via the Swift Dashboard, you can quickly and easily switch between them.


// Access Dashboard Templates

Clicking the 'Template' button will take you back to your list of available templates.


// Add / Manage Users

Clicking the 'Users' button will allow you to Invite / Remove users who can access your Swift Dashboard to manage your eBay store.


// Admin Messages

Clicking the 'Messages' button will allow you to see if there are any updates or announcments from us. A little icon will appear below the messages to indicate a new message.


// Contact Us

Clicking the 'Contact Us' button will take you to the main SwiftProductions.com.au website to contact us..


// Store Settings

Clicking the 'Settings' button will allow you to manage your store's settings such as renewing or generating user tokens, downloading your latest copy of your listing template and updating store details.

Depending on your store's requirments you may see the following:

Generating a new eBay token

For the Swift Dashboard to work with your eBay store you must first authorise it to access your eBay account. You can do so by going to 'Generate or Renew your eBay Token'.

To connect the Swift Dashboard to your eBay store click on the blue 'Renew' button. The token status is set at 'Expires soon' by default. Once you've clicked on the Renew button you will be redirected to your eBay account to connect it.

After your have successfully generated your new token (connecting the Swift Dasboard to your store), the token Status will then be set to 'Valid', and show a new expiry date.

IMPORTANT: Its important you also update your email address to ensure you are notified when your token needs to be renewed again in the future. Tokens expire every 18 months. Failure to renew the token will prevent the Swift Dashboard from working with your eBay store.

eBay Listing Dashboard

To manage your eBay listing template click the 'eBay Listing Dashboard' button.

To retrieve a copy of your latest listing template click on either the 'Listing Template' or 'Modified Listing Template' button.

// Listing Template

  • Original template supplied by Swift. This template should only be used if you don't see the "Modified Listing Template" button.

// Modified Listing Template

  • This should be your main template that you use. If this option is available; the orginal template has been modified and uploaded back in to the Swift Dashboard.

// Upload Listing Template

  • After downloading a copy of our listing template you may modify it as you wish, once you have finished making modifications you need to upload it back to the Swift Dashboard to ensure your template and links are uniform across your store.

The 'Modified Listing Template' button will only appear after you have uploaded a modified template.

IMPORTANT: The uploader will only work with a template developed by Swift Productions.

The template you upload must contain all of our tags. Please do not modify them otherwise it may stop working.
